Optimize workflows for efficiency and effectiveness
Make recurring Claude work faster and more reliable with Projects, shared templates and saved prompts, well-placed human review checkpoints, and curated knowledge, without trading away quality.
Key points
- 1
Re-pasting the same instructions, style guide or reference material every chat is the signal to create a Project: its instructions and knowledge persist across conversations and updates happen in one place.
- 2
A single never-ending conversation is not a substitute for a Project; it degrades, hits the length limit and mixes unrelated work.
- 3
A new chat cannot see earlier chats unless a feature (Projects, memory) supplies the content; 'remember last week' does not work on its own.
- 4
When several people do the same task with different personal prompts, inconsistency follows. Centralise the template, rules and examples in a shared Project with a standard prompt that takes the variable inputs.
- 5
Standardised output formats (fixed sections, fixed scoring) make runs fast, comparable and easy to review; they also let you direct human attention to exceptions (scores that changed or fell below threshold).
- 6
Place a human review checkpoint at the point of highest consequence (before content reaches clients, the public or a decision), with a short checklist focused on what has gone wrong before. This keeps most of the time saving while making the output trustworthy.
- 7
'Double-check your figures' inside the prompt is a weak safeguard; a person checking figures against the source is the reliable one. Reverting to fully manual work is the over-correction.
- 8
Never remove the human from external communications with commercial or personal consequences to save a few minutes; review by exception is fine, no review is not.
- 9
Project knowledge is loaded with each chat, so a bloated knowledge base with superseded files costs speed and usage and produces stale citations. Curate: remove old versions, keep current documents, add an index that says which file is authoritative.
- 10
Claude cannot modify Project knowledge from inside a conversation; a person must add, replace or remove files.
- 11
Usage-limit hygiene: shorter focused conversations, starting new chats for new topics, trimming attachments to what is needed, and using the right model for the job all stretch usage further than a plan upgrade alone.
- 12
Escalate when an optimisation needs automation beyond the app (API integrations, agents, connectors to internal systems): that is Claude Architect and Developer territory.
